Who we are

WebMax Labs LLC is an Arizona limited liability company headquartered in Scottsdale, Arizona, with offices in Chicago, Illinois and Billings, Montana. In this policy, "WebMax Labs," "we," "us," and "our" mean WebMax Labs LLC. "Services" means webmaxlabs.com, our subdomains, and the applications we operate, including internal tools that use Google sign-in.

Information we collect

Information you give us

When you fill out a contact form, request an assessment, subscribe, or email us, we collect what you submit: your name, email address, phone number, company name, and whatever you write in the message.

Information from Google sign-in

Some of our applications let you sign in with a Google Account. When you do, Google shares a limited profile with us based on the scopes you approve at the consent screen:

  • openid and .../auth/userinfo.profile — your name and profile picture
  • .../auth/userinfo.email — your email address and whether Google has verified it

We use this only to create your account, identify you when you return, and contact you about the application. We do not request access to your Gmail messages, Google Calendar, Google Drive files, or Google Contacts through these applications, and we cannot read them.

Information collected automatically

Our site uses Google Analytics, which sets cookies and records pages viewed, approximate location derived from IP address, referring site, browser, and device type. We use this to understand which pages are useful. You can block it with a browser setting, an ad blocker, or Google's opt-out add-on.

How we use information

  • To reply to you and provide the services you asked for
  • To authenticate you and keep your account secure
  • To send service messages, and marketing email only where you opted in or where we have an existing business relationship
  • To improve our site and services
  • To meet legal, tax, and accounting obligations

Google API Services Limited Use

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not sell Google user data, we do not use it for advertising, and we do not allow humans to read it except with your explicit consent, for security purposes, to comply with applicable law, or where the data is aggregated and de-identified.

How we share information

We do not sell your personal information, and we do not trade it. We share it only with service providers who process it on our behalf under contract, and only as needed to run the business. These currently include hosting and infrastructure (Vercel, Amazon Web Services, Supabase), analytics (Google), email delivery (Google Workspace, Resend), payments (Stripe, which handles card data directly — we never receive full card numbers), and telephony and messaging (Twilio, VAPI).

We also disclose information when the law requires it, when we must protect our rights or someone's safety, and to a successor if the business is sold or merged.

Retention

We keep contact-form submissions and account records for as long as the relationship is active and afterward as needed for legal and accounting purposes, typically seven years for anything tied to a transaction. Analytics data expires on Google's schedule. Ask us to delete your data and we will, except where we are required to keep it.

Security

Data is encrypted in transit with TLS and at rest by our infrastructure providers. Access is limited to people who need it, and administrative accounts require multi-factor authentication. No system is perfectly secure, and we cannot guarantee absolute security.

Your rights

You can ask us to show you the personal information we hold about you, correct it, delete it, or stop using it for marketing. Email privacy@webmaxlabs.com and we will respond within 30 days. If you signed in with Google, you can revoke our access at any time from your Google Account permissions page, which immediately cuts off our ability to receive your profile information.

Residents of California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws have these rights by statute, along with the right to appeal a denial and the right not to be discriminated against for exercising them. We do not sell or share personal information for cross-context behavioral advertising.

Children

Our services are for businesses. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, email us and we will delete it.

International visitors

We operate in the United States and store data here. If you use our services from outside the U.S., you are sending your information to the United States, where privacy laws differ from those in your country.

Changes

If we change this policy we will update the date at the top of this page. Material changes will be announced on the site, and where we have your email and the change affects you, by email.
